Shipping Process
I. Customer Product Selection and Intent Confirmation Stage (Total Time: 3-7 Working Days)
- Product Presentation and Preliminary Communication (1-2 Working Days)
- The foreign trade team sends the product catalog (including specifications, materials, quotations, and minimum order quantity) to the customer, and answers the customer's questions about product functions, appearance, and certifications (such as CE, FDA) via email, WhatsApp, or online meetings;
- The customer initially screens the target products and puts forward modification requirements (such as size adjustment, logo printing).
- Sample Confirmation (2-5 Working Days)
- If the customer needs samples, the factory arranges sample production (2-3 working days for regular products, 3-5 working days for complex customized products);
- Samples are sent to the customer via international courier (such as DHL, FedEx). The courier delivery time varies by destination (3-5 days for Europe and the United States, 2-3 days for Southeast Asia). Only the sample production time is counted here, excluding the courier transportation time;
- The customer confirms whether the samples meet expectations. If modifications are needed, the sample production process is repeated (an additional 2-4 working days are required).
II. Order Signing and Advance Payment Stage (Total Time: 2-4 Working Days)
- Contract Drafting and Confirmation (1-2 Working Days)
- The foreign trade team drafts the foreign trade contract based on the product selection results and customization requirements (such as color, packaging), specifying the product quantity, unit price, total amount, payment method (such as 30% advance payment + 70% balance payment), delivery date, and quality standards;
- The customer reviews the contract details, and both parties negotiate modifications before confirming and signing (electronic or paper version).
- Collection and Confirmation of Advance Payment (1-2 Working Days)
- The customer pays the advance payment via Telegraphic Transfer (T/T), Letter of Credit (L/C), or third-party platforms (such as PayPal, commonly used for small-value orders);
- The finance team confirms the receipt of the payment and issues a production order to the production department (for L/C payments, an additional 1-2 working days are required to review the L/C terms to ensure no risks).
III. Product Customization and Production Stage (Total Time: 7-30 Working Days, Depending on Product Complexity)
- Production Plan Formulation (1 Working Day)
- The production department formulates a production schedule based on the order requirements (customization details, quantity) and confirms the raw material procurement needs (such as fabrics, accessories, printing inks).
- Raw Material Procurement and Delivery to Factory (3-10 Working Days)
- The procurement team contacts suppliers to purchase raw materials. Regular raw materials arrive at the factory within 3-5 working days, while special customized raw materials (such as exclusive logo accessories, specific material fabrics) arrive within 5-10 working days;
- The quality inspection team conducts random sampling tests on raw materials to ensure they meet quality standards (such as material composition, environmental friendliness). If the materials are unqualified, re-procurement is required (an additional 3-7 working days are needed).
- Customized Production and Semi-Finished Product Inspection (3-15 Working Days)
- The factory carries out production according to customization requirements (such as cutting, printing, assembly). It takes 3-7 working days for regular products and 7-15 working days for complex customized products (such as mechanical parts, customized furniture);
- During the production process, the quality inspection team conducts semi-finished product inspections every 2-3 working days to avoid batch unqualified products.
- Finished Product Inspection and Packaging (1-3 Working Days)
- After all products are produced, the quality inspection team conducts 100% full inspection (appearance, function, size). Unqualified products are repaired (an additional 1-3 working days are required);
- Qualified products are packaged according to customer requirements (such as neutral packaging, brand packaging, moisture-proof packaging), with product labels and batch numbers attached, and prepared for storage in the warehouse.
IV. Balance Payment Collection and Logistics Preparation Stage (Total Time: 3-8 Working Days)
- Balance Payment Reminder and Confirmation (2-5 Working Days)
- The foreign trade team sends photos/videos of the finished products to the customer and reminds them to pay the balance;
- After the customer pays the balance, the finance team confirms the receipt within 1-2 working days (for L/C payments, an additional 1-2 working days are required to coordinate with the bank for negotiation).
- Logistics Plan Confirmation and Booking (1-3 Working Days)
- The logistics team recommends logistics methods based on customer needs (timeliness, cost):
- Air Freight: Suitable for urgent orders, with a timeliness of 3-7 days. Booking is required 1-2 working days in advance;
- Sea Freight: Suitable for large-volume orders, with a timeliness of 15-40 days (15-20 days for nearby oceans such as Southeast Asia, 25-40 days for distant oceans such as Europe and the United States). Booking with the freight forwarder is required 2-3 working days in advance;
- Courier Service: Suitable for small batches of samples/small items, with a timeliness of 3-5 days. Scheduling a pickup is required 1 working day in advance;
- After confirming the booking, the bill of lading number (for sea freight) or waybill number (for air freight/courier service) is obtained, and the logistics information is notified to the customer.
V. Goods Delivery from Warehouse and Customs Declaration & Shipment Stage (Total Time: 2-5 Working Days)
- Goods Delivery from Warehouse and Loading (1 Working Day)
- The warehouse arranges loading according to logistics requirements (such as container size, air freight container restrictions). For sea freight, supervision of loading is required (to ensure goods are neatly stacked, moisture-proof and shock-proof), and a packing list is generated (detailing the quantity, weight, and volume of products in each box).
- Preparation and Declaration of Customs Declaration Documents (1-2 Working Days)
- The foreign trade team prepares customs declaration documents: commercial invoice, packing list, foreign trade contract, customs declaration power of attorney, and product inspection certificate (for products requiring statutory inspection, inspection application needs to be handled 1-2 working days in advance, and this time is included here);
- The freight forwarder is entrusted to declare to the customs. Under normal circumstances, customs declaration is completed within 1 working day (if customs inspection is required, an additional 1-3 working days are needed).
- Goods Shipment (1-2 Working Days)
- After passing the customs declaration, the goods are transported to the port/airport: sea freight goods are delivered to the port and loaded onto the ship within 1 working day, and air freight/courier goods are delivered to the airport and loaded onto the plane or picked up within 1 working day;
- The logistics team sends the bill of lading (original sea waybill/telex release bill of lading) and waybill number to the customer, informs the estimated time of arrival (ETA), and the shipment stage is completed.
